Well you know that your customerside communication is “doable” over ODT-templates http://wiki.dolibarr.org/index.php/Create_an_ODT_document_template
then those terms and conditions you just put into it as plain text in the end and it will be always part of the document

and you can send predefined docs, like catalogs and stuff. So Terms and conditions I would always make into the template itself or at least there should be a link in it to terms and conditions in your website.
Do you need an offer for creating you odt-template-documents? send me docs as you like to have them as simple odt / word / pdf files including seperate files of the pictures you want to include to dolibarr@team-striebig.com
